Draft a professional email addressed to a key stakeholder at ABC Company, such as “John Smith” (john.smith@abc-company.com.au), to seek feedback on your cloud storage implementation plan. Practice clear and effective business communication by drafting an email as if you were sharing the plan you developed in Activity 2 above, and enhance your skills in professional email writing with a focus on inviting constructive feedback from a relevant stakeholder.

Write an email as if you were including an implementation plan as an attachment, even though no file submission is required for this activity. Use the following guidelines:

  1. Greeting & Introduction: Begin with a polite and professional greeting, addressing the stakeholder by name.
  2. Purpose of Email: Clearly state why you are reaching out — to obtain feedback on the attached implementation plan.
  3. Context for the Plan: Briefly describe the purpose of the implementation plan and why feedback would be valuable.
  4. Call to Action: Politely request the stakeholder’s feedback or any suggestions for improvement, specifying any areas where their expertise could be particularly helpful.
  5. Closing: Conclude with an appropriate closing statement, and include a professional sign-off with your name and role.

Make sure you:

  1. Use a formal yet approachable tone, as appropriate for professional email communication.
  2. Organise the content clearly and concisely, aiming for a structured and readable email format.

After drafting your email, take a moment to reflect on the following:

  1. How does effective communication enhance the process of implementing cloud storage solutions?
  2. What did you find challenging or straightforward about crafting this email?
